Designing an RFI-to-Enrolled journey

Enrollment marketing isn't one campaign — it's a funnel. The schools that win treat each stage as its own journey, with the right message at the right moment, all the way from a first inquiry to a deposited, enrolled student.

Map the funnel first

Before building anything in Marketing Cloud, agree on the stages and the trigger that moves a prospect between them:

  • Inquiry (RFI) — a prospect requests information.
  • Prospect nurture — warming inquiries and stealth prospects toward an application.
  • Applicant — application started; the goal is completion.
  • Admit / Yield — admitted; the goal is a deposit and enrollment.
  • Melt — committed but not yet enrolled; keep them engaged through summer.

Design journey by journey

Each stage becomes a Journey Builder flow with its own entry criteria, cadence and exit. A few principles carry across all of them:

Start the RFI journey fast

Speed-to-first-touch matters. An RFI should trigger an immediate, helpful response — program details, next steps, a clear call to apply or talk to an advisor — then settle into a nurture cadence tuned to the prospect's program and timeline.

Make the application journey remove friction

Applicants abandon. Sequenced nudges, deadline reminders, and "you're almost there" prompts — personalized to where they are in the application — recover starts that would otherwise be lost.

Treat yield and melt as distinct

Converting an admit to a deposit is a different job than keeping a committed student engaged through the summer. Separate the two: a yield journey that sells the fit and the outcome, and a melt-mitigation journey that stays warm with orientation, community and logistics.

Data and triggers

The journeys are only as smart as the data behind them. Application status, program interest, event attendance and advisor interactions should drive entry and branching — ideally unified on Data 360 and connected to Education Cloud so marketing, admissions and advising work from the same picture.

Personalize on three axes

  • Program — a nursing prospect and an MBA prospect want different things.
  • Stage — message to where they are in the funnel, not where you wish they were.
  • Persona — first-year, transfer, graduate and adult learners follow different paths.

Measure what matters

Report on stage-to-stage conversion, not just opens and clicks. RFI-to-application, application-to-complete, admit-to-deposit and melt rate are the numbers that tell you the funnel is actually moving.
